Work-Study Checklist

Accept your Work-Study Award by returning your Financial Aid Award Notice to the Office of Financial Aid.      

View your award notice on CAESAR.

Attend a Work-Study Orientation Session during New Student Week:      

Friday, September 21st from 10:00 - 11:00, 11:15 - 12:15, 1:30 - 2:30 or 2:45 - 3:45     

Plan to attend one session. Helpful information will be presented for those new to Work-Study.

Download an Authorization Form and fill in your information:

  • Name
  • Social Security Number (last 4 digits)
  • NU ID number (found on your WILDCARD or Financial Aid Award Notice)
  • Work-Study Award Amount (found on your Financial Aid Award Notice or on CAESAR)

Find a Work-Study Job that's Right for You.

Don't panic -- there are LOTS of jobs available!

  • Click on the Jobs section of this website. (It will be updated for 2007-08 by 9/1/07.)
  • Attend the Work-Study Job Fair on Monday, September 24th from 3:30 - 5:00 PM at the Henry Crown Sports Pavilion and Aquatic Center (SPAC).
  • Contact Departments directly, based on your interests.

Have your Employer complete and sign your Authorization Form. Return your signed, completed Authorization Form to the Work-Study Office.

Your paycheck will be held without authorization.

Complete Tax and Payroll Forms in your department of hire:

  • Personal Data Form
  • Federal W-4 Withholding Form
  • Illinois W-4 Withholding Form
  • I-9 Employee Eligibility Verification Form -- You will need your Social Security Card or official copy of your Birth Certificate plus a Photo ID, or a U.S. Passport. Original documents only--no fax or xerox copies, please.

Begin Working, and Keep Track of Your Hours and Earnings.

  • You are responsible for entering your hours online on the ETES system.
  • YOU are responsible for monitoring your award and staying within the 15 hours/week limit. (See the Scheduling Guide or Tracking Sheet or Hours Calculator).
  • YOU are responsible for notifying your employer if you aren’t being paid correctly.
  • YOU are responsible for notifying the Work-Study Office of any difficulties with your employer.

Allow up to 4 weeks for your first paycheck.

  • Be aware that your bi-weekly paycheck reflects hours worked during the two previous weeks.
  • You must sign up for Direct Deposit for your paycheck.
